Managed AI for Cliniko clinics

Your front-desk admin, quietly handled.

Physio Agent is a managed, physio-specialised AI that quietly runs the repetitive admin your front desk never gets to — rebooking, reminders, missed calls, recalls and review requests — right inside your Cliniko. It follows your clinic's own policies, never gives clinical advice, and never touches a patient's clinical notes. Less busywork, fewer gaps, more revenue — and one less thing to worry about.

What it does for you

Six leaks in your week, plugged.

Not another dashboard to learn. The agent works your phone line and your Cliniko calendar — you just see the bookings appear.

No. 1

Cancellations get rebooked

The moment a cancellation lands in Cliniko, the agent texts the patient and negotiates a new time from your real availability — then books it straight into your calendar.

No. 2

Missed calls become new patients

Ring-outs and unknown texts get an instant conversation: name, what they're coming in for, booked initial consult — and your practitioner gets a pre-appointment brief.

No. 3

Lapsed patients come back

A nightly scan finds patients who haven't been in for 6+ weeks with nothing booked. You approve each one — the agent does the gentle, compliant follow-up.

No. 4

Your front desk gets a copilot

Staff text questions like "any gaps tomorrow morning?" and get answers from the live schedule — plus your clinic's own procedures, instantly.

No. 5

Reviews grow — safely

Attended patients get a review nudge, and a weekly scan flags Google reviews with clinical claims you legally can't respond to under AHPRA advertising rules.

No. 6

You get the proof, monthly

On the 1st, a report lands in your inbox: revenue recovered, by patient name. You'll never wonder what you're paying for.

Managed, not software
You could buy software and babysit it. Or you could hire an outcome.
The same reason you have a bookkeeper instead of just Xero.
We set it up — your number, your tone of voice, your booking rules. Live in about a week.
We watch it — every conversation is monitored; anything clinical or confused is handed to your staff immediately.
We maintain it — when Cliniko or the phone network changes something, that's our problem, not yours.
You stay in control — every automation has an off switch, recalls need your approval, and the agent never gives clinical advice.
Pricing

Anchored on what it recovers, not what it costs.

Month to month. No lock-in, no setup fee. If it isn't visibly paying for itself, cancel.

Includes setup, your dedicated SMS number, hosting on Australian infrastructure, and a human who answers when you call. Founding clinics: the first few lock in $297/month for life.
Fair questions

The things you should ask.

Will it ever give my patients medical advice?

No — and not as a policy, as a hard technical guardrail. The moment a patient mentions symptoms, pain, or treatment, the agent stops, tells them a team member will follow up, and alerts your staff. It books times; it never advises.

Do patients know they're talking to an AI?

Yes, in the first message of every conversation — "I'm [your clinic]'s automated assistant." That's both the honest thing to do and where Australian privacy regulation is heading. Patients can opt out at any time by replying STOP (honoured across every automation, instantly), and clinic-initiated messages keep to daytime hours — no review requests at 11pm.

Is this AHPRA-safe?

The messaging is deliberately neutral — no outcome claims, no testimonials, no pressure. The compliance guard goes further: it actively flags Google reviews containing clinical claims that AHPRA advertising rules say you must not respond to or share, with a compliant draft reply when one is safe to send.

Where does my patient data live?

On your own dedicated instance on Australian servers — not a shared platform. The agent reads and writes through Cliniko's official API with a key you can revoke at any time, and it only ever touches scheduling and contact details — appointments, names, phone numbers — never your clinical notes or treatment records. We only store what's needed to run your conversations and reports.

What if Cliniko changes something and it breaks?

That's the "managed" part. We monitor every clinic's agent daily, and integration maintenance is our job. You'll usually never know something changed.

How long does setup take?

About a week, and almost none of it is yours: a 30-minute call for your booking rules, tone, and staff numbers, plus a Cliniko API key (2 minutes, we'll walk you through it). We do the rest.

See it run on a Cliniko calendar, live.

15 minutes on a call: I'll show you the agent working a real Cliniko calendar — rebooking a cancellation, texting back a missed call, sending a reminder — exactly as it'd run on yours. Then you decide.
